15.01 Registration

This includes participant registration via the website, communication prior to the conference, the provision of relevant information about the event, and the processing of payments, if necessary. Purpose: The processing of videos recorded during a conference and published on YouTube serves the purpose of making conference content accessible to a wider audience. In doing so, the videos are edited in such a way that participants may be briefly recognizable. The purpose is to give interested individuals the opportunity to view conference lectures, discussions, and presentations, thereby gaining insight into the conference experience. This enables a wider dissemination of knowledge and information about the conference topics and promotes the exchange of ideas and insights within the scientific or professional community.

Duration of data storage

To the extent necessary, we process and store your personal data for the duration of our business relationship or to fulfill contractual purposes. This includes, among other things, the initiation and execution of a contract.

In addition, we are subject to various retention and documentation obligations arising, among other things, from the German Commercial Code (HGB) and the German Fiscal Code (AO). The retention and documentation periods prescribed therein range from two to ten years.

Finally, the retention period is also determined by the statutory limitation periods, which, for example, pursuant to Sections 195 et seq. of the German Civil Code (BGB), are generally three years, but in certain cases may extend up to thirty years.

Your Rights

Every data subject has the right of access under Article 15 of the GDPR, the right to rectification under Article 16 of the GDPR, the right to erasure under Article 17 of the GDPR, the right to restriction of processing under Article 18 of the GDPR, the right to notification under Article 19 of the GDPR, and the right to data portability under Article 20 of the GDPR.

In addition, you have the right to lodge a complaint with a data protection supervisory authority pursuant to Art. 77 GDPR if you believe that the processing of your personal data is not lawful. This right to lodge a complaint is without prejudice to any other administrative or judicial remedy.

If the processing of data is based on your consent, you are entitled under Article 7 of the GDPR to withdraw your consent to the use of your personal data at any time. Please note that the withdrawal only takes effect for the future. Processing that took place prior to the withdrawal is not affected. Please also note that we may be required to retain certain data for a specific period of time to comply with legal requirements.

Right to Object

To the extent that the processing of your personal data is carried out pursuant to Art. 6(1)(f) GDPR to safeguard legitimate interests, you have the right under Art. 21 GDPR to object to the processing of this data at any time on grounds relating to your particular situation. We will then no longer process this personal data, unless we can demonstrate compelling legitimate grounds for the processing. These must override your interests, rights, and freedoms, or the processing must serve the establishment, exercise, or defense of legal claims.

In individual cases, we process your personal data for direct marketing purposes. You have the right to object at any time to the processing for the purpose of such advertising. This also applies to profiling, insofar as it is related to this direct marketing. If you object to the processing for the purpose of direct marketing, we will no longer process your personal data for these purposes.

Necessity of Providing Personal Data

The provision of personal data for the purpose of deciding whether to enter into a contract, fulfilling a contract, or carrying out pre-contractual measures is voluntary. However, we can only make a decision in the context of contractual measures if you provide the personal data necessary for the conclusion of the contract, the fulfillment of the contract, or pre-contractual measures.

Automated Decision-Making

As a general rule, we do not use fully automated decision-making pursuant to Art. 22 GDPR for the establishment, fulfillment, or execution of the business relationship, nor for pre-contractual measures. Should we use these procedures in individual cases, we will inform you separately or obtain your consent, provided this is required by law.
